This role will be part of the Hearsay team, now an integral part of Yext. 

Yext's Proposal Operations Team is seeking a Proposal Administrator to directly support our RFx workflow. In this role, you will play a critical part in supporting the Proposal Operations Manager by helping streamline time-sensitive processes to ensure the delivery of vendor forms, proposals, or other requests for information from clients.
This role requires organizational skills, a proactive approach to handling administrative tasks and active coordination. This is a hybrid position, offering the flexibility of remote telework with the requirement to be on-site at least one day per week on average. Occasional adjustments may be made based on team needs or project demands.

What you'll do

  • Completing vendor forms for legal, financial, and general business inquiries
  • Verifying client NDA statuses and coordinating response execution as necessary
  • Managing the response content library and project folders
  • Scheduling key meetings such as kickoffs and check-ins
  • Quickly developing a solid understanding of the roles of key stakeholders in varying departments and conducting interdepartmental coordination 
  • Other key supportive tasks as necessary 

What you have

  • 1–2 years of experience in a coordination, administrative, or project support role.
  • Experience working with RFx (Request for Proposal, Request for Information, etc.) processes or related operations is a plus.
  • Organizational skills with keen attention to detail and accuracy.
  • Exceptional interdepartmental communication skills. 
  • Strong time-management skills, with the ability to prioritize and manage multiple deadline driven tasks.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with collaboration tools such as Google Drive.
  • Excellent written and verbal communication skills, with the ability to collaborate effectively across teams.
