Job Title: Executive Assistant/Site Administrator, India
Location: Hyderabad, India
Reporting To: General Manager, ABC Fitness
Team Size: Supporting a Centre of 120+ Employees
In Office Availability: 4 days/week
INTRODUCTION:
We are seeking a proactive and highly organized Executive Administrator/Site Coordinator to support the General Manager and Centre Head at ABC Fitness. This role is critical in ensuring the smooth operation of the centre by managing administrative functions, facilitating communication, and coordinating cross-functional activities. The ideal candidate will be detail-oriented, efficient, and capable of handling sensitive information with the utmost confidentiality and professionalism.
WHAT YOU’LL DO:
Executive Support:
- Provide high-level administrative support to the General Manager, including managing calendars, scheduling meetings, and handling travel arrangements.
- Prepare agendas, presentations, reports, and minutes for leadership meetings
- Good communication and written skills to manage correspondence, including emails and official communications on behalf of the General Manager.
Office Management:
- Coordinate with internal teams and external vendors to ensure smooth day-to-day operations of the GCC.
- Maintain office supplies, facilities, and logistics for a team of 200+ employees
- Organize company events, town halls, and engagement activities.
Coordination & Communication:
- Act as a liaison between the Centre Head and various internal and external stakeholders.
- Ensure timely follow-ups on key action items and deliverables.
- Collaborate with People, Finance, and IT teams to support onboarding, training, and infrastructure needs.
- Collaborate on culture events and coordination for India office in close collaboration with global culture team and India HR leader.
Data Management & Reporting:
- Maintain and manage confidential records, documents, and databases.
- Track and report key performance indicators (KPIs) and project updates for the centre.
- Prepare dashboards and executive summaries as needed.
Special Projects:
- Support strategic initiatives and ad-hoc projects driven by the Engineering Centre Head.
- Conduct research and provide insights on industry best practices for centre efficiency and employee engagement.
WHAT YOU’LL NEED:
- Minimum bachelor’s degree in business administration, Management, or a related field.
- 6+ years of experience in executive administration, preferably in a global technology or engineering environment.
- Experience supporting senior leadership in a fast-paced, dynamic organization.
- Excellent written and verbal communication skills.
- Strong organizational skills with attention to detail and the ability to manage multiple priorities.
- Proficiency in MS Office (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, Zoom, Slack).
- Ability to handle confidential information with integrity and discretion.
- High level of professionalism, with a proactive and solution-oriented mindset.
