Job Description
- Initiating Workflows (for document review purposes) in document management software
- Distributing documents to the team for review under document management software and follow-up until completed and returned to the author for modification
- Reviewing document formatting and conformity to document management requirements, if requested transfer existing documents in the applicable format
- Reporting document review progress, and generating document status reports for the team as per the document management system requirements
- Archiving documents (including emails and attachments, correspondence … if applicable) according to document management system requirements, maintaining the archive system
- Issuing controlled copies of information (review sheet, approved document or other documents) per document management system requirements
- Numbering, filing, and archiving of meeting agendas and meeting minutes
- Assisting in preparing presentations, daily reports, weekly, and monthly reports, and printing documents
- Assisting in project tendering such as issuing EOI & invitation to bid letters, coordinating with participated bidders, issuing tender packages & related clarifications to bidders, issuing time extension letters, receiving bids, attending bid opening meetings and making meeting minutes for circulation
Qualifications
- High School or Diploma with reasonable command over both writing and speaking English
- Minimum 5 years experience as a Document Controller for a large project.
- Hands-on experience with Document Management tools (Aconex or equivalent)
